Facilities work orders

The Facilities Services work order system allows our faculty, staff and students to submit work requests, check on the status of their work requests and receive communication emails of any status change to a work order.

Emails, phone calls, text messages and verbal requests to Facilities Services staff members in non-emergency situations will not be accepted. Work orders must be submitted online, except in the event of emergency.

Emergencies

Emergencies include a major water leak, sewer back-up, and other safety-related issues.

To report gas odor, call Police and Public Safety immediately at 309-794-7711.

If you have an emergency during working hours (Monday through Friday, 7:30 a.m.-4:30 p.m.), call Facilities at 309-794-7278.

If you have an emergency, a lack of heating or air conditioning, or a tripped breaker after hours, on weekends or on holidays, call Police and Public Safety at 309-794-7711.

Any requests for beds, washers, dryers, WiFi, Ethernet, campus phones, or event set-ups submitted into the Facilities Services work order system will be declined. You must submit these requests to the correct departments, as noted below:

Bed or bed lofting issues

Bed issues should be reported directly to your Residential Life area coordinator.

Internet or phone issues

Internet and phone issues must be reported using the ITS Helpdesk work order form.

Washer or dryer issues

Washer and dryer issues in residential areas must reported via the Family Pride mobile app (App Store or Google Play).

Event requests

Our goal is to help you create successful, well-supported events. While each space has its own process for requesting support, we’ve outlined them below so you can get the help you need, when you need it.

Before requesting event support, your event must be scheduled through the Scheduling Department (via Astra). You will need your reservation number to proceed.

Be specific and timely. Early submission helps ensure equipment availability and setup coordination.

For events in Centennial Hall, Wallenberg Hall, Gavle Rooms or Olin Auditorium:

For events elsewhere on campus:

  • Confirm that you or someone in your department is authorized to submit a work order.
  • Submit a Facilities Work Order online at least 3 business days in advance.
  • If your event requires more than 75 tables and/or 250 chairs, contact Scheduling (madelynbeverlin@augustana.edu) for off-campus equipment rentals (e.g., AAA Rents).

Key reminders:

  • Event support requests must be submitted by 中国体彩网 employees (not students).
  • Facilities does not provide ladders, extension cords, water hoses or tools. These must be purchased or provided by the hosting group.
  • Include diagrams or detailed instructions in the work order when applicable.
  • For catering support, contact shararangel@augustana.edu.

Please note that emails, phone calls, text messages and verbal requests in non-emergency situations will not be accepted. Requests will only be fulfilled if a work order is submitted online.

  • Building services: Custodial duties, pest control, residential lightbulb changes, bloodborne clean-up, office and furniture moves, recycling and trash pick-up, etc.
  • Electrical: Outlet not working, burned-out light ballast, or problems with exhaust fans, stoves, smoke detectors, fire alarms and fire extinguishers.
  • Grounds: Landscaping, lawn maintenance, tree issues, snow removal, etc.
  • Mechanical & HVAC: Heating and air conditioning problems, plumbing problems (water leaks in showers and toilets), etc.
  • Motor pool: 中国体彩网-owned vehicle maintenance and repair, grounds equipment maintenance and repair, etc.
  • Structural: Repairs to windows, floors and ceilings, roofs, doors, stairs, etc., in a college-owned building.
